Manage and Tansfer Sales Information from on Sales Accounting Page

1. On the navigation pane, select Accounting.

2. On the Accounting page, if not already selected, select Sales.

3. On the Accounting List page, select the date span in the Created In list.

   

Filter jobs on the Accounting list by transfer, delivered, or completed status.

1. In the navigation pane, click Accounting.

2. On the Accounting page, if not already selected, select Sales.

3. Select a filter on the Filter Jobs By list.

   

Repair orders can be flagged as void if revenue cannot be actualized and the repair order is removed from reporting and the Closed Jobs list. You can filter the Accounting List to show or hide these repair orders:

• Use the Show Void toggle to show or hide void repair orders. Turn the toggle on to show void repair orders or turn the toggle off to hide them.

  

Search for repair orders by vehicle make, model, customer name, or repair order. The Accounting List page limits the view to repair orders that match your search criteria.

1. On the navigation pane, click Accounting.

2. On the Accounting page, if not already selected, select Sales.

3. On the Accounting List page, enter your search criteria in the Search Repair Orders box.

4. Click .

5. Click Cancel to clear your search.

Open a repair order from the Accounting list. This saves time as you won't need to search for repair orders.

1. On the navigation pane, click Accounting.

2. On the Accounting page, if not already selected, select Sales.

3. On the Accounting list, click the repair order you want to open. The repair order opens to the Job Overview page.

   

4. Click Accounting in the navigation pane if you want to return to the Accounting list.

Note: Only completed repair orders should be transferred to your accounting system.

1. On the navigation pane, click Accounting.

2. On the Accounting page, if not already selected, select Sales.

3. Filter the Accounting List page as needed.

4. On the Accounting List page, do one of the following: 

• Select the check box next to the repair orders you want to transfer.

• Select the check box at the top of the Accounting page to transfer all repair orders shown in the Accounting page. If you filtered your list, Select All only selects visible repair orders.

5. Mark a repair order as transferred if there is a repair order you don't want transferred. Use this feature if you received an error message in a previous transfer and want to trouble shoot later. Click next to the job you want to mark, and then click Mark as Transferred.

   Tip: If you want to change a job from transferred to not transferred, Click next to the job you want to mark, and then click Mark as Not Transferred.

6. On the Confirm Transfer Details window, select one of the following in the Invoice Date list:

• Use Close Date: Use the date the job was closed as the invoice date.

• Use Date Below: Use the date entered in the Date field as the invoice date. Click the calendar icon in the Date field to adjust the date as needed.

7. Select one of the following transfer types:

• Detail: Send individual line items for each repair order to your accounting software.

• Summary: Send the condensed Summary Invoice with totals summarized by estimate category.

  

8. If you have split accounting enabled, select one of the following:

• Customer: Send information for customer totals to your accounting software.

  Note: If the repair order does not include an insurance company, the invoice totals are entirely attributed to the customer.

• Insurance: Send insurance totals to your accounting software. These totals exclude the customer out of pocket responsibility.
  

  

  Note: This feature is not available if Split Insurance is not enabled. See Configure Accounting System Settings .

9. Click Transfer. Mitchell Cloud Repair provides an error window with a list of repair orders that did not transfer.

Print the Accounting List to provide other users in the shop with a printed copy of available repair orders. The Accounting List shows what repair orders can be sent or were sent to QuickBooks Online. You can print out the list or save a PDF.

1. On the navigation pane, select Accounting.

2. On the Accounting page, if not already selected, select Sales.

3. Apply filters on the Accounting page as needed.

4. Select Print List.

5. In the Print Preview window, do one of the following:

• In the Destination list, select See more, select a printer, and then click Print.

• In the Destination list, select Save as PDF, and then click Save.

Mark a repair order as void on the Accounting List page if the revenue cannot be actualized. This feature marks the repair order as Closed and removes the metrics from reporting.

The repair order is hidden by default on both the Accounting List page and the Closed Jobs list. If you want to view voided repair orders on the Accounting List page, turn on the Show Void toggle . Voided repair orders are flagged with this icon on the Accounting List page: .

1. Click Accounting in the navigation pane.

2. On the Accounting page, if not already selected, select Sales.

3. Locate the repair order you want to void.

4. Click next to the repair order you want to void.

5. Click Void Repair.

   

6. Click Void Repair at the prompt.

   Note: When you click Void Repair at the prompt, The repair order is marked Closed and removed from reporting and the Closed Jobs list. If you need the job to appear in the Closed Jobs list, you can only unvoid the job in the Accounting List page.

7. The voided repair order is flagged with this icon on the Accounting List page: . Use the Show Void toggle to show or hide void repair orders.

   

Unvoid a repair order if you want the voided repair order to appear in the Closed Jobs list and to include the metrics in reporting. You can locate voided repair orders by looking for this icon on the Accounting List page.

1. Click Accounting List in the navigation pane.

2. On the Accounting page, if not already selected, select Sales.

3. Make sure the Show Void toggle is active on the Accounting List so you can see voided repair orders.

   

4. Locate the repair order you want to unvoid. The voided repair is flagged with this icon on the Accounting List page: .

5. Click next to the repair order you want to unvoid.

6. Click Unvoid Repair.

   

7. Click Unvoid Repair at the prompt. The repair order now appears in the Closed Jobs list and is included in reporting. Use the Jobs Actions menu in the Job Overview screen to reopen the job as needed.
