Manage Parts Orders with the Operations Board

1. In the navigation pane, select Operations Board.

2. Review the Ordered, Received, and Credited columns to quickly view the status of parts.

3. Do any of the following:

• Select any row to go to the Job Overview page for the corresponding job.

• Select Parts Price Change or Estimate Revision in the Action row to manage price changes or revise and estimate.

Limit your view on the Operations Board to specific jobs.

1. Enter your search criteria in the Search box. You can search by most columns on the operations board except the Ordered, Received, Credit Posted, and Due Out Date columns.

2. Select .

3. Select Cancel to clear your search.

Filter the Operations Board to show Repair Orders that include parts not yet ordered or show Repair Orders that include parts ordered but not yet received.

1. On the Operations Board, select the arrow next to Filter By.

2. Select one of the following:

• Not Ordered: Show Repair Orders that include parts not yet ordered.

• Ordered Not Received: Show Repair Orders that include parts ordered but not yet received.

3. Select All in the Filter By list to clear filters.

Filter the Operations Board to Repair Orders by a specified date span for the Due Out date.

1. On the Operations Board, select the arrow next to Date.

2. Select Due Out in the Date list.

3. Use the Calendar window to set a date range, and then select Apply.

4. Select All in the Date list to clear the filter.

Use the Operations Board to get quick access to the Manage Parts Price change feature.

The Parts Price Changes flag (PPC) appears in the Action column on the Operations Board if there is a variation between the estimate amount and the vendors price when the part is received.

Note: Mitchell Cloud Estimating automatically reflects accepted changes in Parts Management, while third-party estimates require the Import/Export utility. Estimators must approve changes and accept estimate revisions to update part prices.

Note: Some insurance companies have different thresholds for PPC. Consult your workflow guide for details.

1. On the Operations Board, select Part Price Change in the Action column.

   

2. In the Parts Price Changes window, select and do one of the following:

• Select Reject if the price change is not of any consequence based on insurance workflow guidelines. If the change is rejected, the workflow ends here.

• Select Undo if already rejected, and then select Send if the price change is relevant and you need to modify the estimate.

  

  Tip: If you have multiple Parts Price Changes that added up past the threshold amount for your workflow at a later date, you can undo the Reject option:
  
  Select Parts Price Changes, select , then select Undo, and then select Send. You can now make modifications to the estimate.

3. If you Send the Parts Price Change, do one of the following based on your estimating system:

   • Mitchell Cloud Estimating estimates, follow the steps described in Review and Accept Parts Price Changes in Mitchell Cloud Estimating. The Parts Price Changes automatically appear for you to review in Mitchell Cloud Estimating.

   • For other estimating systems, a new EMS file was generated in the location configured for third party estimating system under Estimating System EMS Import Directories to Send Part Price Changes section on the Importing and Exporting Configuration settings and you can review and accept the part price changes in your own estimating system.

Accept estimate revisions directly from the Operations Board for other estimating systems other than Mitchell Cloud Estimating. When you accept the changes, repair and/or job information is updated on the Repair Order.

1. On the Operation Board, select Estimate Revision in the Action column for the Repair Order.

   

2. In the Accept Estimate Revision window, select one of the following:

• Replace Repair Information: Replaces repair lines, totals, rates.

• Replace Repair and Job Information: Replaces repair lines, totals, rates, contracts, vehicle information, and insurance information.

  

3. Select Accept.
