Dispatch Scheduling Board

On the Scheduling Board you can view the following assignment queues: Unassigned, Assigned, Dispatched, On Hold, and Canceled. Each queue lists 100 assignments at a time.

You can:

  • Assign appraisal assignments to resources in a variety of ways (click and drag, manual, and automatic).
  • Set a block of time to unavailable for one or more resources, preventing assignments from being assigned during that time.
  • See the assignment details by clicking the assignment for a resource on the board.
  • Reassign assignments among resources on the board before assignments are dispatched.

Note: The system keeps track of the number of times (attempts) an assignment is dispatched. Dispatchers can view Assignment status notes in the Time View & Map views of the scheduling board using Assignment Pin information.

Icons and color-coding allow you to quickly gather information. Drive times are identified by gray diagonal hash marks.

You can sort the information as needed by clicking the column headings. These sort settings stay in place until you change them, whether you navigate to another tab on the Scheduling Board or to another window in WorkCenter.

The following columns are common to all scheduling board tabs. See below for columns unique to each tab.

Claim-Suffix

The claim number including suffix. Click this to view the assignment details.

Insured/Claimant / Assign. Type / Street Address / City / State / ZIP / Loc. Name / Loc. Type

General information taken from the assignment.

Note: Street Address is a link to the assignment on the Map View tab.

   

Unassigned tab

Preference

The claimant's preferred schedule date and time.

Urgency

Level of urgency. Urgency levels are set and can be adjusted in the assignment details. You can configure the Scheduling Engine to automatically escalate the urgency level when an assignment has not been dispatched within its set time frame.

Attempts

The number of times an assignment has been dispatched.

Created

The date the assignment was created.

Assigned and Dispatched Tabs

Status

The dispatch status of the assignment: Ready, Not Ready. You can assign an assignment that has a Not Ready status as long as it has a valid address. Once it is assigned, its status changes to Ready.

Assigned to

Opens the resource's profile card.

Attempts

The number of times an assignment has been dispatched. (Not shown on the Dispatched tab.)

Scheduled

The date and time the appointment is scheduled. Click to view the assignment on the Time View tab.

On Hold tab

Held By

The resource or dispatcher who put the assignment on hold.

Held On

The date and time the assignment was placed on hold.

Reason

The reason for placing the assignment on hold.

Canceled tab

Assigned To

If applicable, the resource originally assigned to the assignment.

Canceled

The date and time the assignment was canceled.

Reason

The reason the assignment was canceled.

Click to view the assignment on the Time View tab.

Click to dispatch selected assignments.

Click to place selected assignments on hold, for example if additional work is needed. Placing an assignment on hold prevents it from being scheduled by the Scheduling Engine, and it cannot be dispatched.

Click to cancel selected assignments.

Click to use the scheduling engine for selected unassigned assignments.

Using the resources shown on the Scheduling Board, the Scheduling Engine determines the best resources for the selected assignments, uses the first available time slots, and then marks that time as unavailable.

Note: Teams not shown on the Scheduling Board are not scheduled to assignments.

Click to reassign selected assignments to another resource.

Click to release selected On Hold assignments.

Click to reopen selected Canceled assignments.

Click to create a report of the information on the active tab.

Click to update the window with your latest changes.

Click to open the New Assignment window where you can enter assignment detail information.

Click to use the scheduling engine for all unassigned assignments.

Using the resources shown on the Scheduling Board, the Scheduling Engine determines the best resources for the selected assignments, uses the first available time slots, and then marks that time as unavailable.

Note: Teams not shown on the Scheduling Board are not scheduled to assignments.

After assignments are updated to the appraisers, you can click Optimize and WorkCenter will schedule the times and appraisers to make the best use of travel times and appraiser availability. Note: when Optimize Route is used, it may change manually placed assignments that have not been locked or dispatched to an appraiser's schedule.
